AccountMate Summit 2003

Add-Ons

AccountMate was designed for flexibility.  The logic is accessible and can be changed, making AccountMate highly adaptable.  NexLAN has developed some product enhancements that increase the functionality of AccountMate.

NexMICR
NexMICR is a Laser Print Check writer. Its cost is $495.00 LAN/MSDE or $595.00 SQL List Price (VAR discounts available).  NexMICR is useful for running multiple concurrent companies in your AccountMate installation, or if a single company prints checks from multiple checking accounts.

Printing your own MICR on your Payables and Payroll checks allows you to use the same check stock for multiple accounts.  Accounts do not need to be changed over at the same time, NexMICR allows each to be switched over one at a time so that preprinted checks are not wasted in the process.

NexMICR is described as having seamless integration into the AccountMate environment, offering fewer programs to configure and fewer operations to depend on to reliably print your checks.

NexMSDS
NexMSDS provides seamlessly integrated MSDS printing.  Its cost is listed as $795.00 LAN/MSDE or $995.00 SQL List Price (VAR discounts available).  This product synchronizes the data from company accounting and manufacturing systems with the MSDS information.  NexMSDS provides tools to create, print, and track your MSDS compliance.  Integrates with AccountMate and does not require the user to have purchased the source code option for their installation.

The look and feel of NexMSDS is similar to AccountMate when running the Add-On from the AccountMate menu.  The creation of an MSDS involves only three steps:

  1. Define the components.
  2. Define the paragraph section text
  3. Assign the components and section to the inventory items.

The components and sections can be assigned to many inventory items and then changes to either are automatically reflected to all items they are assigned to.  You also have the flexibility to create any number of sections in your MSDS documents, but 9-section and 16-section ANSI are the most popular formats

The "reportable components" that are to be displayed/used on your MSDS are defined on a single simple screen.  Note the components do not need to be defined as Inventory Items.

Here's where it all comes together!  In the screen below the components and paragraph sections are assigned to the Visual AccountMate Inventory Items.  Additionally, if you'd like to print your Vendor's part number and Emergency Contact information on your MSDS then here is where this information is defined.

NexMSDS is integrated with AccountMate software, so when customer invoices are printed, the corresponding MSDS is printed automatically.  The system checks to see if the MSDS has ever been printed previously or if there is a newer version of the MSDS available, and tracks the printing and version into a log.  NexMSDS records MSDS printing by customer, by item, by MSDS version and by date.

NexBOL
This software Add-On is a Bill of Lading Generator.  Its cost is $395.00, Lite is $495.00 Deluxe List Price (VAR discounts available).  NexBOL integrates with AccountMate's Sales Order and Inventory Control modules to print customizable Bill of Lading Shipping documents - cutting your Bill of Lading preparation time from tens of minutes at the typewriter to tens of seconds at your keyboard, with improved accuracy and more detail.

Available as NexBOL Lite which is perfect for shipments with a single freight commodity code, or NexBOL Deluxe for shipments with multiple freight commodity codes, both versions print completely customizable 3-part Bill of Lading documents and run from the VAM menu without requiring VAM source code.

NexBOL Deluxe

NexBOL Deluxe assigns freight codes to line items on sales orders and automatically totals the item weight to your documents.  The Bill of Lading lists each line item in detail and the Deluxe version logs all Bill of Ladings prepared so you can reprint at any later time.

Freight Description Maintenance

The Deluxe version includes a user-maintainable table for the National Motor Freight Bureau freight code descriptions, which may be customized for your specific shipping document requirements.

On the Detail tab (shown below) the line items from the Sales Order are displayed and you assign their respective Freight Codes.  The quantity and weight is automatically totaled to the Bill of Lading document.

NexGLKey
NexGLKey is a general ledger account key changer.  Its cost is $595.00 LAN/MSDE or $695.00 SQL List Price (VAR discounts available).  This Add-On is useful when consolidating divisions or departments, reflecting changes in historical financials, and charting accounts. NexGLKey allows the changing and merging of General Ledger accounts.

All current and history GL account information in AccountMate's Accounts Payable, Accounts Receivable, Bank Reconciliation, General Ledger, Inventory Control, Manufacturer's Inventory, Purchase Orders, Payroll, Return Merchandise Authorization, and Sales Order modules are effected.

No development copy of Visual FoxPro or source code required.  Changes and merges can be made for one GL account at a time with complete validation of the "from" and "to" accounts.

The “Batch” option offers an Excel spreadsheet to manipulate the GL account structure..  Changes to both the number and size of account segments can be made, mapping all history (including unposted transactions) into the new account schema.

NexPRStub
NexPRStub is used to show benefit time on payroll stubs.  Its cost is $195.00 List Price (VAR discounts available).  This Add-On can be used to notify employees of their accrued benefit time (vacation/sick/personal/holiday) and print the employee’s available Payroll benefit time on every employees pay stub.  This software doesn’t require source code for implementation.

NexPRStub can show the Current Year Hrs Eligible as either "awarded" or "calculated using an annualized accrual method".  "Awarded" is the default behavior of AccountMate, where an employee receives beginning amounts of benefit time at the start of the pay year.  "Accrued" means that if an employee would earn 80 hours of Vacation time during the year, the payroll stub can show them earning it during the year so that, as an example, by July 1 their stub will show only 40 hours eligible for the current year.  The two options are demonstrated based on the following screenshot, taken from the sample data:

When the employee's check is run for the pay period June 16 to June 30 for 76 hours of "Regular" plus 4 hours of "Vacation" it generates the following data on the stub (again, using the "Accrual" method in this example):

Accum

Used

Available

 Vacation

159.45

84.00

75.45

Notice the round-off of accumulated hours since 30 June is one barely short of half a year.  NexPRStub handles mid-year hire-dates in the Accrual method, so that if an employee would earn 80 hours of Vacation in the year, but was hired on 1 April then they would have only accrued 20 hours by 30 June.

If using the "Awarded" method, the data on the stub looks like the following:

Accum

Used

Available

 Vacation

200.00

84.00

116.00
